If you are spread thin between all of the hats you wear and the projects you juggle, time to focus on your top priorities is usually the last thing on the list. When you are free from all the heavy tasks of any day, you can focus more on what is important. Things that are more detail-specific need your full attention; you cannot expect to perform at your best when you have so much on your plate. Hence when you delegate your tasks to your team or other people, you find more time to be focused on the important stuff.

Think about the times when you are most insightful? What activity are you doing? What time of the day is it? Who are you around? What makes that moment special/unique? Then, I challenge you to find ways to create more of these time periods. People use various ways in business to start the process of delegation of tasks every day. You may feel that delegation of tasks is a lengthy and stressful process, but it is not. When you systematically do things, you get closer to creating the ideal work environment. Below are a few ways to start the process of the delegation:

1.Create and implement duplicatable systems:

When designing, make sure you do it with a step-by-step workflow for the time-consuming tasks that can be given off to the team and get out of the process. It would be best if you started with documentation of the process with role assignments, the dates that the tasks are due, and important things to know. You can train your employees from the process outlines and post the ongoing workflow to pick it up and enhance /or change. 

2.Master working on single tasks:

Every week or month, focus on one side of your business. For example, if you are a small technology company selling items, you may train the team on the customer experience process. This way, you can train your team members with one task at one time. You can always improve your processes and training on how things are done in the future but starting with, one thing will help you keep the pace of the work. 

3.Perfect the process:

The goal is, for your procedure to be so clear, that the least skilled person, can pick it up and follow it from start to finish. This is going to be a continued experience that can take months or even years. You must realize that handing over roles to someone else is a critical thing to do. To assure things are carried out as you see fit, document what needs to happen in great detail. Make revisions as needed to add efficiency and/or clarity.

As your business grows, If you are delegating tasks to your employees and are not able to bear the workload, finding the talent you need, is the right thing to do. There is always the opportunity to outsource and hire services outside of your business. A fresh pair of eyes may bring different perspectives that could be beneficial as well.

5.Schedule tasks:

You cannot go any further in your task’s delegation if you do not have a schedule set. You need to set time durations for each task to identify how long it takes to complete the work. Next, set a time for you to DO the tasks described and/or assign them to your team to complete. Once this is done, you will feel more comfortable following the set pattern. 

When your team performs the tasks, that you would have been doing otherwise, you need to follow a set of rules so that you manage the work being completed. 5 ways to manage your team as they perform tasks:

1.Be transparent: You need to show transparency once you are leading and managing a team. This makes your team more creative, happy and builds trust when they see the management and leadership roles transparent in their actions. This may also exclude sharing background information of why the tasks are needed..etc.

2.Keep communicating: Develop communication channels, so your team knows how to communicate within your team. This important when multiple people are contributing to the same goal of working towards a deadline. The easiest way to work together is through an effective communication platform.

3.Provide feedback: Your feedback can make your teamwork better and strive for perfection for the roles you assign them. It would help if you told them when they excelled and how they can improve.

4.Trust your team: Your team will be able to do well when they know you trust them. Your trust can bring out the best from your employees. When they feel trusted, they are more likely to perform at their best.

5.Don't burn the team out: Make sure you're not exhausting your team members in getting what needs to be completed. Delegate tasks in such a way that no one from your team feels burnt out and everyone has room to breathe. Load balancing is important when managing your team and what tasks are assigned.
